Making the Most of Communic8

The commissioning of your Communic8 platform instance is very straightforward and takes only a few minutes once we have your correct company information. But in order to leverage the full potential of the Communic8 platform, we recommend that your organisation complete a few extra steps, which you should get started on as early as possible.

Looking at the Gantt chart below, you will see the typical Communic8 platform enablement timeline. While the tasks identified with grey shading are optional, we highly recommend that you complete these steps in order to:

  • meet any organisational security and compliance requirements

  • improve your email open rates

  • guarantee that your communication emails and content will be delivered and displayed correctly

  • keep your Communic8 recipient data synchronised with your existing back-office employee records

  • adhere to company branding guidelines

  • utilise the full capability of the platform

Once you've made a commitment to become a Communic8 client, we will begin the onboarding process as displayed above. Below we'll outline what each of these steps involves and what you should be planning for now. Don't worry, we'll be involved every step of the way to make sure your platform onboarding experience is as smooth as possible.

Step 1: Involve IT as Early as Possible

Your first question may be, why should we involve the IT department so early in the process? In today's cyber conscious world, most organisations adopt a security-first mindset and take a conservative approach to the adoption of new software systems. We recommend that you contact your IT department early to give them time to properly assess our solution and ask questions.

We recommend having a meeting between a Communic8 technical staff member and your IT department (please speak to your account manager for help setting up the meeting). We cannot stress this enough as it will allow for a smooth process moving forward. The typical security-related concerns that you may hear from your IT department, which we can directly address in a meeting, will usually pertain to:

  • Privacy

  • System availability

  • Compliance and security audits

  • Confidentiality & personnel practices

  • Physical security

  • Data security and encryption

  • Network protection

  • Product-specific security features

  • Disaster recovery

  • Incident management and response

Step 2: Decide Where to Host your Data

Most organisations must adhere to strict compliance requirements in relation to data protection and privacy. As part of meeting those controls, most clients have specific requirements in terms of geographic isolation of their data.

Based on your compliance requirements, we can geographically isolate your Communic8 data to any of the following 6 regions:

  • Asia Pacific (Sydney, Australia)

  • Asia Pacific (Singapore)

  • Canada (Montreal, Quebec)

  • Europe (Frankfurt, Germany)

  • Europe (United Kingdom)

  • United States West Coast (Oregon)

If you don't see a geographic region that is needed to meet your requirements, please speak to your account manager.

Step 3: Configure Client Email Address

By default, your Communic8 platform comes pre-built with the email sender “From” address set to "clientname@communic8.com". Say your company is called “Acme Consulting”, and your client platform name was set to “acmeconsulting” at the time of commissioning your platform instance. The “From” address that your recipients will see in their email inbox will be "acmeconsulting@communic8.com".

To improve your email delivery and open rates, we recommend that you send your email using a company email address. Continuing with the example above (“Acme Consulting”), say your company website is “www.acmeconsulting.com”. You should ideally send your email on the Communic8 platform using an email “From” address such as “hr.team@acmeconsulting.com” or “communications@acmeconsulting.com”. We can assist you in this process.

If you have security concerns in regards to Communic8 sending email with your domain in the "From" field, a possible solution would be for us to set up a separate subdomain off of your current domain (e.g. "c8.acmeconsulting.com") and use that for your custom sending address (e.g. "communications@c8.acmeconsulting.com").

Step 4: Whitelist our IP Address and Domains

It is common for an organization to have internal IT security measures to protect themselves from unwanted “spam” or "phishing" emails and potentially malicious websites. In order for Communic8’s communications to pass seamlessly through these security measures, we recommend that your IT team add our dedicated IP address and domains to your safe lists (“Whitelist”) for both your firewall and email filters.

  • Network firewall settings

Step 5: Develop a Recipient Loading/Synchronisation Strategy

Recipients are the people that receive your communications, typically your employees. You can create your recipients in a few ways:

  • Bulk Upload

  • Individually from within the Communic8 admin console

  • On the fly as you send campaigns

  • SFTP upload and integration

  • API integration from your HR System, i.e. SuccessFactors Employee Central

To get going quickly we recommend that you use the bulk upload facility at first. It's easy to use and quite powerful. While it's also easy to create recipients individually, or on the fly, it's just not practical when first loading your employee data. The bulk upload facility will enable you to start sending campaigns quickly without having to wait for the completion of a more robust integrated solution which can take a while depending upon the responsiveness of your IT department. Don't worry about doubling up on recipients later as the Communic8 system will seamlessly merge existing recipients on the platform with those later being loaded through another mechanism.

Step 6: Custom Client Configuration

Your Communic8 account manager and a support person can help you with the configuration of your platform. Don't worry, these steps are straightforward and we often do the work for you. Typical client configurations include:

  • Default email and SMS content

  • Custom logo and branding

  • Delivery method configuration

  • Permissions and roles

  • Communication categories

  • Default and custom fonts

  • Recipient data fields

  • Recipient groups

Step 7: Enablement Training

Communic8 provides enablement training as part of our platform onboarding experience. This involves a 1-hour platform overview training session with one of our support personnel. Speak to your account manager to book a session early and develop an appropriate training plan based on your needs. We also provide a 1-hour training session specific to using the content editor. We recommend that you involve your content creators so they can ask questions specific to the editor and how to best implement their designs.

Step 8: White glove Services and Integration

Communic8 provides white glove services such as:

  • content design

  • brand alignment

  • app white labelling

  • methodology alignment

  • training
